The product
Do I need to know accounting?
No. You describe your business in your own words and fill in screens that use them. The double-entry books are written underneath automatically, so the reports your accountant expects are there.
Can I bring the spreadsheet I already use?
Yes. Books2BI reads your tabs, columns and formulas, and turns monthly sheets into registers you can filter — the calculations come with them.
Which reports do I get?
Trial balance, profit & loss, category breakdown, balance sheet, ledger, day book, outstanding and aging, plus stock summary when you hold stock — and your own dashboard.
Which documents can it read?
PDFs, photos of bills and receipts, Excel and CSV files, payslips, and bank or wallet statements. What it reads is shown to you to approve before it reaches your books.
Which countries are supported?
Over 200. The country you pick sets your currency, your financial year and the names of your tax registrations.
Where is my data stored?
In Amazon Web Services in the United States (us-east-1), encrypted, and only accessible to your workspace.
What happens to card numbers and personal IDs in my documents?
Card numbers, CVVs and expiry dates, full bank account numbers and IBANs (the last four digits are kept), social security, Aadhaar and passport numbers, dates of birth and medical record numbers are masked when a document is uploaded. Values your books need — tax registration numbers such as GSTIN, VAT or PAN, UPI IDs and payment references — are kept so invoices and reconciliation work. Masking is automatic and best effort, so it is a safeguard rather than a guarantee.
Is my data used to train AI models?
No. Answers are generated with models on Amazon Bedrock, which does not use your prompts or documents to train models.
Can my team use the same books?
Yes. Invite teammates from the Team page. Everyone works in the same books and shares one token balance, while each person’s chat history stays private.
What does it cost?
Every account starts with 70K free tokens, and building your first tracker is free (the conversation that designs it uses tokens). After that you buy token packs from $5 — no subscription, no seat fees, and tokens never expire.
Tokens and pricing
What are tokens?
Tokens are how Books2BI measures work. AI work — designing your tracker, reading a document, answering a question — uses tokens, and so does opening a report. Your balance goes down by exactly what each action costs.
What is free?
Building your first tracker (the conversation that designs it uses tokens), entering your day’s work, your dashboard and screens, exports, invoices, settings and your team. Recording your own business never costs tokens.
How much does a report cost?
A small amount per open — 50 tokens plus a little more for very large reports, never more than 2,000 — and reopening the same report with the same filters within 30 minutes is free.
Do tokens expire?
No. Tokens never expire. Use them at your own pace.
How do I check my balance?
Sign in and open Token usage. It shows your remaining balance and every action that used tokens. Credits added lists every grant and purchase.
What happens when I run out?
Everything you have entered stays exactly as it is, and you can keep entering your day’s work. AI work and opening reports pause until you add tokens — any pack brings you back within seconds.
Does my team share one balance?
Yes. Teammates you invite draw from the workspace owner’s balance, so you buy tokens once for the whole team.
